Description

Summary

The Library Services Assistant supports library operations by managing all library purchasing, coordinating payments, and monitoring budget lines. This position also provides support for front desk services and student worker oversight. Other library operations responsibilities include building maintenance coordination and general organizational tasks.

Duties and Responsibilities

Manages Purchasing

  • Orders all library materials  
  • Manages mail receiving and distribution   

General Budget Duties

  • Processes credit card charges, reimbursements, and deposits
  • Maintains petty cash and circulation cash drawer
  • Processes invoices and coordinates payments/deposits with the Business Office
  • Records all transactions and completes monthly budget reconciliations
  • Collaborates with User Services Supervisor to monitor budget lines for Federal Work Study awards and student worker spending

User Services

  • Provides frontline customer service to library patrons as needed
  • Works with Instructional Tech Librarian and Systems librarian to be first level of support and troubleshooting of equipment and software
  • Collaborates with the User Services Supervisor in student worker oversight

Supports Library operations

  • Maintains library calendars
  • Creates and posts signs as needed
  • Maintains college/library information
  • Communicates with the Campus Facilities Department to coordinate regular custodial services and work orders as needed
  • Works in-person and virtual reference shifts during assigned days, evening, and weekend hours
  • Assists patrons with directional, technical, and ready reference questions through in-person and virtual shifts during assigned days, evening, and weekend hours
  • Collaborates with professional librarians to escalate questions when appropriate

Qualifications

  • Proficiency with office equipment and procedures, desktop and mobile operating systems, and Microsoft Office applications
  • The ability to work in a team environment with accuracy, integrity, and sound judgment
  • Excellent communication, interpersonal and problem-solving skills
  • Flexibility in adapting to changing departmental and organizational priorities and evolving technologies

Preferred Qualifications

  • Experience working in a library or educational institution
  • Experience with budget management
